What are user licenses?
When signing up with Nectar, your contract lists a user count (or number) of licenses available for your account.
This is the number of seats that you have available to add to your Nectar Account.
Example: If you have 400 licenses and add 380 users to your account, you would still have an available 20 empty seats that you could add into Nectar.
There will also be a per user price listed which is the amount you pay per active user in Nectar depending on your billing period.
If you are unsure of how many licenses you have available or your billing period, please contact your Account Manager with Nectar.
Adding additional users past the number of available licenses
If your headcount grows and you need to add additional seats, below walks you through the options to add them to Nectar.
HRIS/SFTP
Once you add the users to your SFTP report or your HRIS syncs with Nectar, you will receive an email from [email protected] notifying you of the license increase in Nectar. (example below)
Attached in the email will be a PDF detailed invoice and the memo line will list the user increase.
Bulk Upload/manually
If you add users via Bulk Upload or manually, before the users are added you will see a pop up to let you know the number of additional licenses being added and the amount that will be charged.
You will click the box to acknowledge the purchasing of an additional license and then click Complete to finalize adding the users. This action is irreversible.
Doing any of the above ways will update the max number of seats available to match the number of Active users in your Nectar account.
Increasing license count before adding users
If you'd like to increase your license count prior to adding them into Nectar, you can contact your Nectar Account Manager to assist.
They will then work with our billing team to send an invoice for the seat increase.

FAQs
Do I pay for all user's listed in our account, including deactivated users?
You only pay for the number of Active users in your Nectar account. You do not pay for deactivated users.
What if I deactivate a user? Do I have to pay for another seat once I add someone else again?
If you deactivate an individual that means it opens up a seat in your account to add another user without charge.
Example: If you have 100 active users (and that is your license count), and you deactivate one to have 99 active users, you would be left with 1 unused seat in your Nectar account. You can add 1 additional user to go up to 100 active users again before having to pay for more additional seats.
If we don't use all of the seats we paid for during our billing period, do we get a refund?
No, if you have empty/unused seats in your Nectar account you are not refunded the difference.
How much are we charged for each user when they are added?
When you go to add the user, the pop up will display the amount being charged. You are charged a prorated amount until your next billing cycle.
