This article will explain how to bulk upload, edit or deactivate users

Bulk Upload is your friend for not having to individually add a large amount of employees! This feature can also be used to quickly update your user list if there are multiple users that need to be added/edited or deactivated from the user list.

How to Bulk upload your users file

  1. The user information file needs to be in a CSV(comma-separated values) format. The CSV file also needs to only have the following column headers found on this example file.

    1. Bulk uploads can be tricky, so please review the following important Notes:

      ⭐️NOTE⭐️

      You need to ensure that the "employee_id" fields match the ID's in the system with every upload, or it will create a duplicate account for every different employee ID.

      For example, a Nectar user is added with employee_id "12345". Another admin completes a bulk upload and the employee_id accidentally gets changed to "012345". The system would register those two numbers as completely different accounts, deactivating the old account, changing the email, and creating a new account with the duplicated, same email. (This would erase all account history for the initial 12345 account).

      ⭐️NOTE⭐️

      Birthday and Anniversary awards can be missed if the dates are formatted incorrectly!

      birth_date will need to be in the format D-Mon (i.e. 8-Jun), and hire_date will need to be in the format D-Mon-YYYY (i.e. 8-Jun-2008).

      Note the single digits for the dates above ("8"-Jun): If their birth_date or hire_date falls between days 1-9 of the month, do NOT include a "0" at the beginning of single digit dates.

      (incorrect examples: ❌08-Jun❌ and ❌08-Jun-2008❌).

    2. Preferred name will need to be their preferred FIRST NAME ONLY.

2. Once your file is ready to upload, navigate to the Users tab of the Admin section.

3. Select the "Add Users" button at the top of the Users page. This will give you an option to add an individual user or bulk upload. Select Bulk Upload Users and click Continue.

4. This will open the window where you choose between "Append or Update Users to List" or "Deactivate Users Not In List" options (see below).

  • Use the "Append or Update Users to List" button if you wish to add and/or update users only.

  • Use the "Deactivate Users Not In List" button if you wish to add, update, and deactivate users that are not in the list you are uploading.

5. After choosing one of the above options, double click or drag your file into the blue space to upload:

6. Map your Column Headers:

  • These should look familiar! Using the dropdown on each "column header", make sure that the system has assigned each column header from your file to the correct attribute within the system. After scrolling through the list, once all attributes are matching, select "Validate" at the bottom right of the window.

7. Revise Erroring Rows:

  • If you have any errors at this point, the system will tell you by highlighting the error fields in red!

  • If you have no errors, it will indicate as below. Select Review.

8. Review how your data looks, and check for any misinformation or other problems you can spot. Select Confirm if it looks good!

9. "Are you sure?"

  • Be sure to review the numbers in the pop up! If the numbers look incorrect for how many will be deactivated, added, and updated, try checking your spreadsheet for errors, exit out, then start from Step 1 again!

  • The "Updated" number should equal the total amount of users in your system.

10. COMPLETE!

You'll get the big, Green checkmark when you've successfully completed the upload! You may need to refresh the page to see the changed applied. Please chat with our support team if you have any other questions!
