How do I update billing information and view payment history?

You can manage your credit card, billing emails, and payment history in the Workspace Settings > Billing tab of your Nectar account.


How do I add or change the credit card on file?

The credit card on file is used to pay for:

  • Employee reward redemptions

  • Your Nectar subscription

To add or update your credit card:

  1. Go to Workspace Settings > Billing.

  2. In the Payment Settings section:

    • Click the Card option to enter a new credit card.

    • or Click Change to update the existing card on file.

  3. Enter your credit card details and save.

❗ Important: If you don't see the option to add your payment method, it may be due to the payment type your company uses. Contact your Nectar Account Manager for questions.


How do I change the billing email address?

To receive notifications and automated receipts for reward payments:

  1. Go to Workspace Settings > Billing

  2. In the Billing Notifications section, enter email addresses you'd like subscribed to invoice notifications.

    1. Multiple emails can be added with a comma in between them (no spaces).

  3. Click Save Settings in the top right of the page.


How do I view my billing history?

You can access and export past payment records for platform fees and rewards:

  1. Go to Workspace Settings > Billing.

  2. Scroll to the Reward Payment Statements section.

  3. Use the View Details button to expand billing activity by recent months.

  4. Or click the View All Reward Payment Statements to see all history.

  5. Click Download to export specific monthly breakdowns.


What are the processing fees for reward payments?

Reward payments made by credit card incur the following processing fee:

  • 3.5% + $0.40 per transaction

Note:

  • This fee applies only to reward payments, not subscription payments.

  • Processing fees are non-refundable.

  • To avoid credit card fees, you may pay via check, wire, or ACH.

  • International wires incur a $20 USD fee.


When am I billed for rewards?

You are billed on the 1st of each month for all rewards redeemed during the previous calendar month.

To view your past redemption totals, go to Analytics > Reward Spend on the left hand panel.


How do I change the payment method for a current invoice?

If you need to change the payment method for a specific invoice to a credit card, follow these steps:

  1. Contact the Billing Department:

    • Reach out to Nectar's billing department ([email protected]) to assist with updating the payment method.

  2. Provide Invoice Details:

    • Ensure you have the details of the invoice ready (e.g., invoice number) so the billing department can locate and update the payment.

❗ Payment changes cannot be processed via support chat and require direct communication with the billing team.


Can I set future invoices to be billed to a credit card?

To set future invoices to be charged to a credit card, request an account update:

  1. Contact the Billing Department:

    • Ask to set your account's default payment method to a credit card. This ensures all future invoices use the new method.

  2. Confirm the Changes:

    • Verify with the billing department that the changes have been successfully made.

⚠️ Invoice-specific payment changes may not be possible once it has already been processed. Contact the billing team promptly to ensure timely updates.
