SafeTalk lets admins respond to employee feedback while protecting the employee's identity. It bridges the gap between listening and taking action, allowing HR and leaders to ask follow-up questions, acknowledge concerns, and keep the conversation going — anonymously.

SafeTalk is:

  • Always on for Engage customers

  • Available for all survey types with open-text questions

  • Built to protect employee privacy by default

SafeTalk is a confidential follow-up channel for open-text feedback.


How does anonymity work?

SafeTalk is anonymous by default — for both employees and admins.

Employee anonymity (default)

  • Admins see a randomly generated name (e.g., Brave Mint Otter)

  • Employees' real names and profiles are never shown

  • Admins cannot trace feedback to individuals

Admin anonymity (always on)

  • Employees never see the admin's name or profile photo

  • Replies appear as from "someone at the company"

If an employee reveals their identity:

  • The reveal is permanent for that conversation

  • Their name and photo become visible to admins

  • All past and future messages reflect the revealed identity

  • Admins are notified in the thread

  • An audit log entry is created

Note: Identity reveal is one-way (employee → admin). Admins can never reveal themselves.


Why is SafeTalk useful?

SafeTalk helps you:

How does SafeTalk work?

Here’s the basic flow:

  1. Employee submits feedback (via survey or General Feedback link)

  2. Admin replies

  3. A private thread is created in the Inbox

  4. Employee gets an email notification

  5. Conversation continues until archived

Step 1: Respond to feedback

Admins can reply from:

  • Survey responses (open-text)

  • General Feedback submissions

To reply:

  • Click the Reply arrow icon next to a response

  • A modal opens over the page

  • View the original question and response

  • Type and send your message

Note: All replies are permanent and start a new conversation thread.

Step 2: View the conversation in Inbox

Once you reply, a thread appears in the Inbox — the hub for all SafeTalk activity.

Each thread:

  • Is tied to a specific question or feedback

  • Shows the originating question and response

  • Stays open until archived

  • Shows the participant’s display name (e.g., Clever Coral Fox)

Step 3: Employee gets notified

Employees receive:

  • An email notification with a secure link

  • No login required to reply

Step 4: Employee replies (anonymously by default)

From the chat window, employees can:

  • Read admin replies

  • Respond anonymously

  • See the original survey question and their own response

Employees can choose to reveal their identity anytime.

Optional: Identity reveal

If an employee reveals their identity:

  • Name and photo appear to admins

  • The reveal applies to that conversation only

  • It’s permanent and logged in the audit trail


How do I manage conversations?

The Inbox

The Inbox holds all SafeTalk threads:

  • Active: Ongoing conversations

  • Archived: Resolved or closed threads

Each preview shows:

  • Display name

  • Original feedback

  • Latest message


Working with multiple admins

  • Any admin can reply to a thread

  • Admins see each other's names and photos

  • Employees always see replies from "the company"

Pro Tip: Coordinate internally to avoid duplicate responses.


Notifications

Admins receive emails when:

  • A participant replies

  • Another admin replies in a shared thread

You can:

  • Silence notifications for a conversation

  • Subscribe again later

Tip: Silence threads that are resolved but not yet archived.


Conversation actions

From the overflow menu, admins can:

  • Mark as Unread

  • Archive / Restore

  • Silence / Subscribe to notifications

Note: These actions apply only to the selected thread.


Keyboard shortcuts

The Inbox supports hotkeys to speed up common actions like:

  • Mark as unread

  • Archive threads

  • Silence notifications

Pro Tip: Keyboard shortcuts are especially useful when working through high volumes of feedback after a major survey launch.


How is anonymity protected?

Anonymity rules at a glance

  • Employees are anonymous by default

  • Admins are always anonymous

  • Identity reveals are one-way (employee → admin)

  • Reveals are permanent and logged

Audit logs

Audit logs show:

  • Who performed an action

  • What action was taken

  • When it happened

Actions logged include:

  • Identity reveals

  • Archiving / restoring

  • Notification changes

Tip: Use audit logs for internal visibility — not to monitor individuals.


Admin best practices

Keep responses focused

  • Ask one clear question

  • Avoid leading or multi-part questions

  • Keep replies short and neutral

Match your tone

  • Assume the employee stays anonymous

  • Start with appreciation

  • Avoid defensive language

Tip: "Thank you for sharing" is a great opening line.

Respect anonymity

  • Never pressure identity reveal

  • Don’t try to infer identity

  • Keep things professional even after identity is revealed

Coordinate with your team

  • Check full thread before replying

  • Use audit logs for context

  • Assign ownership during high-volume periods

Close the loop

  • Thank the employee

  • Summarize next steps

  • Archive the thread

Tip: Archiving signals resolution — not dismissal.


What does SafeTalk like for employees?

SafeTalk lets employees continue conversations without revealing who they are.

How it works

  • All chats are anonymous by default

  • Display names are randomly generated

  • Feedback can’t be traced back to the person

  • Admin replies show as from "someone at the company"

How conversations start

Employees may get a message after:

  • Answering an open-text survey question

  • Submitting feedback via the General Feedback link

They’ll receive:

  • An email with a secure reply link

  • No login or account needed

Continuing the conversation

Employees can:

  • Read admin replies

  • Ask follow-up questions

  • Remain anonymous — or choose to reveal their identity

If they reveal identity (optional)

  • Name and photo become visible in that conversation only

  • The reveal is permanent

  • They can still choose not to reveal anything

Tip: SafeTalk is not for monitoring — it’s for listening and following up respectfully.
